Task 4: Examples of routine maintenance Unit 25 (P4, D1)

Videos of yourself performing at least one example of routine maintenance in a suitably professional and safe manner from each category: File Systems, Cleaning and Ventilation and Maintaining Systems.

Evaluation 

This types of routine maintenance help to improve the system and make the equipment more useful. For example proper naming and managing files will help to understand what files are about and will make it easier to find the right one.  Cleaning lenses will help to read the disc and also help to keep the DVD drive working for longer period of time as if they are not clean they usually stop working or don't work how they are expected. Changing paper and ink on the printer will make sure that you never run out of them so you always going to be able to print and other people that use the printer will be able to print. All of this routine maintenance will help to improve the quality of the use of computers.  Will also keep them working so they will not have to be repaired or replaced for longer period of time. 

Task 6: Maintain data security and integrity when applying fault remedies - 25 (M3)

When performing fault remedies user should take in to the consideration Data Security and Data Integrity.  All the data that is stored in the machine that is taken in to the maintains should be secured and backed up if needed. It’s common that data is always backed up when performing fault remedies on servers and hard drives. However all the data should be secured and should come back to the user as it was when the user saves it last time. The data should be also compatible so if any software like for example Microsoft Project have been uninstalled it has to be installed again and the data should be able to open on this software. All the files also should not be corrupted because it’s the same as they wouldn’t be there. 

Task 5: Justify an appropriate remedy for one complex hardware, and one complex software problem (M2, P6)

Hardware Problem: Maya does not allow the user to use high quality rendering or version 2 rendering modes on their laptop.

The Laptop most likely is not meeting the requirement of the software but it also could be a problem with a graphic drivers or graphic card fault. Laptops usually have two graphic cards one is integrated and another one dedicated. The integrated card is usually not as much powerful as dedicated so it would be appropriate to change the graphic card priority in the graphic control power. If the software is still not allowing user to use high quality rendering then user should try updating the drivers for the graphic card as the might be very old so the might be not compatible with the software. If that don’t work I would suggest upgrading the components that don’t meet the requirements and in case of laptops is most likely be easier and not much more expensive to just buy new one.

Software Problem: User cannot run ‘theme hospital’ on their windows 7 machine.

If the user cannot run theme hospital on the windows they should right click on the game.exe and run it in compatibility mode as its any old game so it’s not specified for new operating systems. If that don’t work user should also find and download patch for the game that will update the version of the game to the one that is compatible with Windows 7. Running game as a administrator could also help as sometimes games will not run if the user not chose that option.  User can also install second operating system on the machine for older software and games. Reinstalling the game as well as updating drivers might help to run the game. 

Task 4: Apply fault remedies safely to simple (easily identifiable) IT system problem. (P4, P5, P6)

Machine does not power on.

The first step would be to check if the button on the back of the device is switched on. If it’s off then you have to turn it on in order for the machine to start working make sure you turn all the buttons on. Buttons such as:  Power button/switch on the front of the computer, Power switch on the back of the computer, Power switch on the power strip, surge protector, or UPS.  Find out that the power supply voltage switch is set correctly. If the input voltage for the power supply does not match the correct setting for your country the machine may not power on at all. Most importantly you have to check for disconnected computer power cable connections. Replace the computer's power cable. If your computer is no working power supply unit you should test whether the (PSU)  should be replaced. You should however test it just to be sure. The computer fault could also be that the power on and off button on the back of the computer is not working. This is not usual case but it could happen in this case the power button should be replaced. In worst scenario the problem might be on the motherboard in this case motherboard should be replaced. 

Task 3: Identify sources and select suitable fault remedies from the following list to solve the above problems. (P3)

User experiences erratic performance and system hangs/crashes while using Photoshop CS6 on their Windows XP machine.

The first think to do would be Understanding what the problem is and what is the most successful method to repair it. To make the Photoshop CS work on the Windows Xp machine better I would suggest allocating more RAM memory for the software and updating the hardware to have more RAM. In order to do this user performing repair will need screwdriver, antistatic wrist band and new Ram. User will have to remove the old ram and replace it with the new one or if there is free slot for the ram add it to the old one. The other solution to this problem might be reinstalling the software as there could be a error in process of installing it. If this doesn’t help the only solution is to downgrade to the previous version such as CS5 with might have less requirement or be more compatible with the Windows XP Operating System.  

On boot users machine halts and asks for time and date to be set.

The solution to this would be in the main or system setup screen you should be able to see the date and time. Using your arrow keys, navigate to the date and change the date. Once highlighted on the month, day, or year, press your arrow keys or your page up or page down keys to change the date. These steps may vary for your BIOS. You can also change the date and time by following the steps for your operating system by right clicking on the time on the right bottom corner and changing the date and time to the correct one.  

User cannot access the internet.

This could be cause by many different problems and the first step would be identifying the problem by right clicking on the internet access on the bottom right corner by fallowing all the steps. The build in troubleshooting software should give the case of the problem and suggest the solution. The first thing to do is to check that all the cables are connected to the device. Also using different cable would be suitable to test if it is a cable fault. Another step would be to check the router and the lights on it should indicate the problem. Resetting router settings might help if that doesn’t help replacing the router might be to only chance. Also network card in the pc should be checked in order to find out if that’s the cause of the problem.  

Task 2: Hardware and Software D2

Electronic voltmeter

Electrical Device used to measure the voltage and contact within electrical circuit. It’ designed to undergo direct contact with the electrical power and the energy across the circuit. It’s use to measure the capacity, resistance, tolerance, voltage, and electrical potential of that circuit. This device use two leads one is negative and one is positive, they are both connected to the voltmeter.

Screwdrivers

This is extremely needed device with is used to do pretty much every single routine. It’s used to unscrew the screws as well as screw them in order to open or close the case of the computer or any other IT related device such as printer.  There are different types of screws as well as different types of Screwdrivers.  

Antivirus software

The Antivirus software is not only use to remove the viruses but also to find them and it’s very common for computers to have viruses and if they require repair they need to be scanned first and then all the viruses can be removed. It’s extremely useful software for repairing and maintains computer systems.  

Test utilities

This type of software is used to control the execution of tests and the comparison of actual outcomes to predicted outcomes. Test software can automate previous repetitive but necessary testing in a formalized testing process already in place, or add additional testing would be difficult to perform manually. It’s extremely useful software as it determine what’s wrong with the system or software and even hardware and give you solution on what to do next.   

Monitoring program

Monitoring programs are used to monitor the performance of the specific pc component. For example it can specify the heat of the components such as processor and graphic card. Is extremely useful as if something don’t work properly it show that on the screen and you can see it before it damage other parts of the computer.   

Reinstalling Software

Software is sometimes not installed properly and need to be reinstalled in order to archive full functionality. Sometimes wrong version is installed and it needs to be installed again in order to install different version.    

Upgrade

The upgrades need to be performed in order to archive full functionality of the software or hardware. For example you have to upgrade graphic drivers or sound drivers in order for them to work how they should.   

Effective communication

The effective communication must be used in order to perform repair. If the person that repairs was not able to use effective communication it wouldn’t be able to perform all the necessary routine. As the person wouldn’t be able to communicate with the employee and fallow all the objectives as well as explain the problem to other people involved.   

Appropriate format (verbal, written)

The person performing routine repair should also be able to document the process of the routine as well as make a plan before starting to work on repairing as the person will need to know what to do first and if the routine is complicated there would be allot of problems as in some parts hi wouldn’t know what to do next.   

Checking understanding

The person needs to have skills that will help him understand all the problems in order to immediately find the right solution to perform repair routine.  It’s very important to understand the problem before dealing with it as the person performing routine will need to understand what the problem is and how to repair it.

UNIT 15 & 13 Task 1: Organizational Policies (P1, D1)

Need of Policies & Procedures

Policies are extremely needed in the work place as they make sure that all of the information’s that are hold are secure and they don’t flow outside of the organization. There are many reason for that as the information that are usually hold by organization could be used in wrong things if they flow to the wrong people as they will have many opportunities to harm the person with the information that they can get. It’s to stop employees from taking out important information’s as this increase the risk of information flow.  The person that agree to the certain policies will have to make sure to fallow enough responsible and most of the time will get disciplinary out of job and in worst scenario they could end up with paying fine to the person that have been a victim of the crime or getting sentence in jail for the crime that they commit as breaking any of this policies is considered as a crime. The information that are hold could be use for many reasons for example discriminating people, harassing them, or earn profit on them. Information that shouldn’t be out could be a very powerful weapon as they can damage someone reputation and people that for example have a competition with other organization will pay allot of money for information’s that could help them to improve they business and maybe remove the competition. That’s why employees have strict rules in some organization on what equipment they can bring to the workplace as they are not allow to take any of the data to home. All of this examples are connected to the Data Protection Act 1998, the Computer Misuse Act 1990. There are also policies that protect owners of any kind of work its called Copyright Design and Patents Act. 1988 weather is article, study, picture, music, image, movie or any other type products that can be copied by someone. This give the authors right to either take the case to the court if they found someone using they work or sell the right to the product. Every Human have the right to decide whether they want they information to be shared with others and nobody have the right to post any information about them without the knowledge and approval and if not the person that is using they information’s is braking the Human Rights Act.

There are many negative things that could happened if there was no rules and policies everything within the organization would be disorganized and people could do whatever they want for example on Data Protection Act they could take information’s of other employees or customers and provide them on the internet without permission and if they provide information’s such as address, mobile phones, place of employment people could lose allot and people that cause this would not get any penalty as there was no accts that would say that they are not allowed to do that. Because of that people could lose they job without reasons. Without Human Rights Act people will not have any right and this will give other people to for example discriminate them because of they look, race and cultural views so other people could discriminate them at work as much as they want and they would face any consequences. Without Computer Misuse Act people would be able to hack other people and pretend to be them because it won’t be illegal so because of that people could lose allot in the life’s as they could lose they job, money and even friends as person that is pretending to be that person could made up any fake stories and information’s.

Isuess

There are many issues that organizations will have to deal with in a certain situation for example there could be fire somewhere within organization, data flow, equipment theft or equipment damage because of the people that eat or drink food near the equipment. The organization will need to make sure that they fallow all the procedures. If the company didn’t have the specific equipment and they didn’t fallow the procedures for example fire procedures they organization will eventually get closed or end up paying big amount of fine for not fallowing procedures.

Health & Seafty

The legislation make sure that organizations are fully prepare and safe for everything so for example there’s has to be CCTV cameras, fire alarms and fire defender equipment installed where they should be and fully functional. They also have to make sure that emergency exits and will be opened when needed. That’s why organization usually test they equipment and train the staff. If something happened within the organization like for example someone is going to have accident and going to brake something when escaping when fire alarms go on and its going to be the organization fault because the put something on the way of emergency exit they will end up paying that person money and the the business may get closed or person responsible for this will get hired because they didn’t stick to the legislations and procedures that they should.

The impact of these on the troubleshooting and repair process

Security

This policy is mainly responsible for making sure that all the security detail such as password and user accounts are secure so you have to make sure that you are the only person that uses the account.  IT systems Acceptable usage policy requires from users to log off the computer as inappropriate people could get the access to the data that they shouldn’t. The user also shouldn’t install the unauthorized software as this could lead to the issues such as making the equipment unusable by affecting it performance.  The users also have to make sure that the equipment is secure during the use of it and after. The users within college are not allowed to connect they own device to the college network if they don’t get authorization from the IT Manager. The use of computers in the college is governed by legislations such as: the Data Protection Act, the Computer Misuse Act, The Telecommunication Act and the Human Right Act.

Costs

In term of costs the members of the staff has to make sure that they examine all the purchasing and introduce the environmental criteria to make sure that the equipment meets all the requirements and condition. They are also required to research on the equipment that they are purchasing to make sure that there is no alternatives with are better or cheaper. They also have to encourage the use of recycled paper to make sure that people don’t use it in inappropriate reasons that are not associated with the course as they are spending the college money. If the potential user with in this case is the student brake the equipment the staff have to make sure that it was reported and the person that did it will have to pay back the money for it.  The staffs are also required to conserve the energy or monitor consumption of it and this is all covered in the Environmental Policy Statement.

System downtime

System downtime is usually affected by many issues but they all can be prevented if the right procedures have been taken and the staffs fallow all the legislations. In this case people have to make sure that they have the right equipment for example server. The also should make regular backups so student and teachers work don’t get lost.  The regular maintainer should be taken at the end of each week.  System downtime could cause a lot of damage as if the system would be down user wouldn’t be able to perform they daily routine.

Disruption

Disruption is when something unexpected happened and person responsible for that area is not preparing for it. Organization such as College should have plan for everything so in case that something happen they have solution to repair it and prevents it from happening. For example if users lose they work organization should back the up. In order to back the files up they would have to be prepare for this to happen.

Resource allocation

All the resources should be right allocated. This mean that there shouldn’t be too much of resources for one place for example you cannot add too much of the paper for the printer as the printer could damage the paper if there are too many resources than it should be the company could lose a lot of money as they might spend money on the unimportant resources. Resources should be well balanced so if the resources are not needed they shouldn’t been used.

Prioritisation

The company should prioritize some of the aspect when performing repair as they might be more important and they should be repaired first. For example if network is down and at the same time printer is not working. The person that perform repair should concentrate on repairing network instead of printer as without network printer would be useless.
